Salesforce Japan

Before Comparing Vendors for an Entertainment or Event Project: Five Items to Settle in a Request Brief So That Quotes Can Be Compared

Many buyers request quotes for event or content production from several companies, only to find that the amounts and contents differ so much that they cannot be compared. One possible cause is that the conditions given to each company were understood differently. This article lists five items that a corporate buyer can settle before requesting quotes or proposals. It is not legal advice; please confirm specific contract terms between the parties.

The following planning framework adapts general RFP principles from Salesforce Japan for entertainment and event projects. The examples and checklist are FounderBank’s practical suggestions; adjust them to your project.

1. Describe the purpose and scope in countable units

Separate planning, guest coordination, venue arrangements, operations and streaming. Mark each as included, arranged by the organizer, or undecided. This is FounderBank’s practical suggestion to avoid comparing quotes based on different assumptions.

2. Specify the cost items and ask what is included and excluded

The FounderBank event partnership page also treats the budget as covering not only talent fees but also production, venue, travel, interpretation, rights clearance, and operations. Put a list of cost items in the brief and ask every company to answer in the same table, and gaps become easier to spot. Also ask them to state the conditions under which extra costs arise.

3. Decide the quality standard, number of revisions, deadline, and approval flow

Set the completion standard, revision rounds, desired deadline, budget range and communication arrangements before requesting a quote. In entertainment projects, approval from rights holders or guests can take time. Writing down who approves, how many rounds there are, and what happens if approval is delayed makes quotes easier to compare. The approval part is our general suggestion and not taken from the sources.

4. Decide the evaluation criteria before you see the proposals

The Salesforce Japan blog describes reviewing proposals and quotes against criteria set in advance, with points assigned to viewpoints such as price, technical ability, and team structure, and the results recorded. Choosing on price alone can lead to selecting a narrow, cheap proposal and paying more later. Compare scope, extra-cost triggers, deadlines and payment terms in the same format. Whether to add experience in coordinating with guests and rights holders as a criterion for entertainment projects is something to decide internally; that addition is our general suggestion and not taken from the sources.

5. Set a contact desk for questions, a submission deadline, and confidentiality

The Salesforce Japan blog recommends stating a contact for questions and its deadline in the brief, narrowing the candidates to about three to five companies, and signing a nondisclosure agreement before handing over the brief. It also lists items to confirm before a contract, including payment terms, ownership of intellectual property, confidentiality, and termination conditions. If the brief contains unreleased plans or information about guests, decide who receives what before you send it.

Example comparison checklist (not a price quotation)

  • Guest coordination: candidates, agency contact and on-site support—what is included?
  • Streaming: recording, live transmission, archive and clips—which are included?
  • Revisions: how many rounds, and how are additional changes quoted?
  • Usage: who confirms media, territory, duration and reuse?
  • Delivery: what format, deadline, reviewer and acceptance standard apply?

How FounderBank can support planning

The FounderBank website describes support for Japanese and overseas companies in entertainment, from planning and production to merchandise and event operations. Its event partnership page mentions planning, voice actor casting coordination, and event-related business development, and recommends preparing a short document with company information, project outline, desired conditions, budget range, decision makers, and deadline. The same page says that general price lists cannot be used as formal quotes and that costs vary with the terms and rights involved. FounderBank does not guarantee the booking of any specific guest, title, venue, or production company, nor any attendance or revenue.
