Planning a Voice Actor Reading Event: A Corporate Checklist
This is a planning checklist, not a report of specific past productions. Start with the audience and the purpose before selecting performers. Appearance availability and project terms must be confirmed separately.
1. Define the audience and purpose
Write down who the event is for and what you want attendees to take away. Distinguish a new-title promotion, a fan event and an introduction for first-time audiences.
2. Select a format that your team can deliver
Possible concepts include a reading-focused program, a reading with music or visuals, or a format designed around the venue. These are planning options, not claims about particular productions.
3. Prepare the script and running order
Clarify whether you will commission an original script or propose existing material. For multiple performances, decide what stays the same and what changes. Changes can require additional rehearsal, sound cues and production work. Include breaks and any talk segment in the running order.
4. Assign production responsibilities
Identify the scriptwriter, director, sound and lighting leads, stage manager and event operations contact. Overseas organizers should also identify the venue liaison and language support contact.
5. Separate casting from usage permissions
Confirm performer availability and conditions through the appropriate contact. List proposed uses separately: live performance, livestream, archived recording and promotional clips. Specific permissions and contractual terms require individual confirmation; this checklist is not legal advice.
What to send in your first brief
- Audience and purpose
- Proposed format, number of performances and duration
- Script ownership or proposed source material, and the script development contact
- Production roles, venue and preferred dates
- Budget scope, including production, venue, rehearsal and travel
- Proposed recording, streaming and promotional uses
Mark each item as confirmed, preferred or undecided. You do not need to invent missing details to start a discussion.
