Before You Send a Voice Actor an Offer: Five Items for Corporate Organizers to Prepare

When you invite a voice actor to appear at an event, in a promotion or in a game-related project, an initial message with little information makes it harder for the agency to judge the schedule and conditions. More back-and-forth is likely, and the decision may take longer. This article summarizes five items an organizer can prepare internally before sending an offer.

The outside references used here cover invitations to speakers and guest performers in general. They do not describe voice-acting industry practice or market rates. The structure below combines those general ideas with the process described on FounderBank's public pages. It is not legal advice.

1. The purpose of the event and the role you want the guest to play

A guide to writing guest invitations lists the purpose of the event, and how the guest's expertise will help attendees, as something to explain in the request. For voice actors, putting into words why you want them to appear makes it easier for the other side to judge whether the project fits.

FounderBank's page on booking voice actors for events places the decision on the guest's role (talk guest, MC, reading, product introduction and so on) early in the process. Candidates are then considered by their works and characters, their suitability for live talk, and their fit with the audience. The more specific the role, the easier this step becomes.

2. Date, place, format and audience

The same invitation guide lists date and location as items to state clearly. For a voice actor, it also helps to prepare the following.

  • The country and city of the event
  • Your preferred dates (approximate dates are fine)
  • The format (an in-store event, a stage show, a fan talk, a corporate promotion and so on)
  • The expected audience and its approximate size

FounderBank's page says that undecided items may be given as provisional information. You do not need to wait until everything is fixed. Stating plainly what is still undecided makes later coordination easier.

3. The budget range and the arrangements up to the day

According to FounderBank's page, there is no standard fee. The fee varies with the voice actor, the dates, the time, travel and accommodation, the event format, rehearsals, language support, promotional use of name and likeness, streaming, recording and secondary use. The page therefore recommends thinking in terms of the whole project budget rather than the appearance fee alone.

Another resource on working with guest performers notes that costs may arise beyond the fee, and lists travel arrangements, accommodation, the need for extra nights, and accompanying staff to confirm in advance. It also advises reading any rider (the performer's written requirements) to the end before signing, and passing requests such as rehearsal and dressing-room needs to the venue. It adds that you should not promise a guest anything the venue cannot control.

At the offer stage, be ready to share, as far as they are decided, an approximate budget range, whether you will arrange travel and accommodation, whether there will be a rehearsal, and whether interpretation or other language support is needed.

4. Scope of filming, streaming and promotion, and the timing of announcements

FounderBank's page says that filming, streaming, promotional materials and reuse of footage may each need separate agreement. If you plan to record or stream the event, say so when you make the request, so that conditions do not change later. An article on what to put in a performer agreement also lists whether the organizer will record audio or video as one of its items.

Timing of the announcement matters too. The same page states that a guest must not be announced until the appearance and the promotional conditions have been formally confirmed. Decide in advance how unconfirmed information will be handled with colleagues and sponsors. If the performance includes third-party works such as music or video, the guest-performer resource points out that permission must be obtained from the rights holders.

5. A reply deadline, your contact details, and a fallback

The invitation guide lists a reply deadline, a planned follow-up date, and the sender's title and contact details. A voice actor's appearance may not be possible, depending on the agency's decision and the schedule. Stating a deadline, and deciding internally what you will do after it, keeps the whole project from stalling.

FounderBank's page also describes preparing the schedule, script, announcement plan, local arrangements and alternatives before the event. Decide before the offer what you will do if your first choice is unavailable, for example looking for another candidate or changing the format.

About consulting FounderBank

FounderBank's page on booking voice actors for events says that it accepts consultations for events in Japan and for conventions overseas, wherever they are held. You can consult before a specific voice actor has been chosen, and inquiries in English are accepted. The page says the following information helps the discussion move forward.

  • Company or organization name, your name and a business email address
  • The country and city of the event, and preferred dates (approximate is fine)
  • The event format, and the guest or audience you have in mind (undecided is fine)
  • An approximate budget range, and details of the project

The page states that before an agreement is reached it cannot promise the appearance of a specific voice actor, its realization, a guaranteed booking, or fixed conditions, dates or fees. This article likewise does not promise any appearance or result.
