Before You Plan a Voice Actor Talk Stage: 5 Design Points for Overseas Convention Organizers

Talk panels with voice actors are described as one of the most popular events at anime conventions (Taiyoucon, published August 4, 2026). But if you start designing the program only after a guest is confirmed, timing, audience questions and photography rules can become a source of confusion on the day. Based on the voice actor booking page of FounderBank Inc. and publicly available event reports, this article lists five points that corporate organizers may want to settle before planning a talk stage with a Japanese voice actor. It does not guarantee the appearance of any specific voice actor, nor any attendance or business result.

1. Decide the guest’s role and the audience

According to FounderBank’s voice actor booking page, casting proposals take into account the connection to the work or character, fit with the brand, the audience, and suitability for talk or MC roles. Its process also includes clarifying the role, such as talk guest, MC, reading, or product introduction. Putting the audience and purpose into words first makes later discussions easier.

2. Choose the stage format and running time

Common formats include a Q&A-centered stage, an MC-led conversation, and a stage with added game or program segments. This grouping is a general classification, not drawn from a specific source. The Taiyoucon article says that voice actors at such panels talk about recording and auditions, behind-the-scenes stories, favorite characters, and advice for aspiring voice actors. If interpretation is used, the same content usually takes longer, so leave some margin. Convention time limits also need to be respected, as the same article notes.

3. Set up how questions are collected and handled

Taiyoucon recommends that attendees prepare one or two questions in advance, and says that staff handle moderation. It does not describe how questions are selected or ordered, so that is for the organizer to decide. A Dragon*Con blog post (the URL path contains 2019, but the article itself is dated August 30, 2007, so it is quite old) advises keeping questions short, not handing gifts to guests during the panel, and not teasing guests. These are examples from large North American conventions and may not apply directly to every venue. Organizers can collect questions in advance, during the panel, or through a combination of both. The balance should be decided according to the venue, audience and interpretation setup; this is a general operational suggestion rather than a claim from a cited case study.

4. Confirm photography, streaming and reuse

FounderBank’s page lists photos, video, streaming, subtitles and reuse after the event as items to consider, and says that photography, streaming, promotional materials and reuse of footage may each require explicit agreement. Attendees should be told the photography rules in advance, and what is allowed (audience photos, streaming, official recording) depends on agreement with the guest side. For contract or rights questions, please consult a qualified professional. This article is not legal advice.

5. Prepare agreements, on-site staffing and a backup plan

FounderBank describes six steps: sharing the event overview, clarifying roles, considering candidates, confirming availability and commercial terms (schedule, fee, promotion, usage permission), detailing the run sheet, script, announcement steps and staffing, and then holding the event and reviewing it. The page also states that appearances are decided case by case and are not guaranteed, and that a guest cannot be announced before an agreement is reached. Fees are not uniform and may vary with the performer, schedule, duration, travel and accommodation, format, rehearsal, interpretation, promotional use of name or likeness, streaming, recording and secondary use. When choosing dates, organizers may also check other events that target a similar audience. This is a general planning suggestion, not a claim from an external source. Preparing a shortened version of the run sheet in case timing changes is a general suggestion of ours, not from a source.
